Trial Balance

Overview

A Trial Balance is a financial statement that lists all ledger accounts and their corresponding debit or credit balances. It serves as a tool to verify the accuracy of the general ledger and ensure that the total debits equal the total credits. This equality is a fundamental principle of double-entry bookkeeping.

Purpose:

 

Note: The Debtors Ledger is a subsidiary ledger that provides detailed information about customers who owe money to the business.

It can be accessed separately in MAXMONEY under Reporting > Accounting > Detailed Ledger.

Additionally, the Debtors Transaction Ageing Report provides information on the age of outstanding customer balances.

The Security option is available under the Report Section of the Role:  Setup > Reporting > Trial Balance Report. 

How to Access the Report

Navigate to Reporting > Accounting > Trial Balance.

Report Filters

The reports have selection options whereby you can drill down information to branch level etc. The following selections are available on this report:

  • Report Type: Movement or Closing Balances

  • Branch: This field is optional.  You can generate the report for transactions which were created on a specific branch

  • Region: This field is optional.  You can generate the report for transactions which were created on a specific region

  • User: This field is optional. You can generate the report for transactions created by a specific user.

  • Transaction Date Start: This is a required field.  The date must be in the format: dd/mm/yyyy. Specify a date range.

  • Transaction Date End: This is a required field.  The date must be in the format: dd/mm/yyyy. Specify a date range.

  • Hide Zero Listings:  You can generate the report without ledgers with a zero balance.

  • Create spreadsheet: Indicate if you want the report to be generated in a spreadsheet format.
