Set Up Client Status
Rules
Path: Navigate to
Setup > Clients > Status Workflow Batch Rule
This section explains how to configure
the rules that determine a client's status within the batch process. Before you
begin, you'll need to request Mycomax to enable the Status Workflow
Batch Rule module on your Legal Entity.
Security: The
security option for these settings is available under the Report
Section within Role Setup > Client Status Workflow Batch
Rule.
Managing Qualification
Rules
You can perform the following
actions:
- Add a Qualification
Rule: Click the Add a Qualification Rule button to
create a new rule.
- Edit/Change an existing
Qualification Rule: Click the Edit Workflow Qualification
Rule button to modify an existing rule.
- View Client Status
Workflow Qualification: The following columns provide information
about your rules:
- Description:
The name of the Workflow Batch Rule.
- Rule Type:
Indicates the type of rule (Positive, Negative, or Special). Each type
dynamically displays its own set of rules under the "Rules Applicable"
header.
- Enabled: Shows
whether the Workflow Qualification Rule is active or
inactive.
Setting Up Client Status
Rules
Configure rules based on how you
want to determine a client's status.
Path: Navigate to
Setup > Clients > Status Workflow Batch Rule > Add
3.1. Overdue Rule
This rule applies when a client has
unpaid installments that are already due.
- Give the rule a
description, such as "Overdue."
- Set the Rule
Type to "Negative."
- Enable the
rule.
- Select "Loans have
overdue instalments."
- If you want to apply a grace
period, select "Use loan late payment grace
period."
3.2. Inactive Client Rule
This rule identifies clients with no
transactions for a specified number of months.
- Give the rule a
description, for example: "Inactive."
- Set the Rule
Type to "Special."
- Enable the
rule.
- Select "client is
inactive."
- Specify the number of
months for which there must be no transactions (e.g.,
3).
- If you do not want to
take action (like handing over to a debt collector) even if the client has a
balance, select "Client has a balance."
3.3. Good Client Rule
This rule identifies clients who
have consistently paid their loans on time for a specific period.
- Give the rule a
description, for example: "Good Payer."
- Set the Rule
Type to "Positive."
- Enable the
rule.
- Select "All loans paid on
time."
- Define the number of
months the client must have paid their loans on time (e.g.,
3).
3.4. Bad Debt Rule
This rule applies when a client's
unpaid installments are significantly in arrears, indicating an inability to
pay, and the debt may need to be written off.
- Give the rule a
description, for example: "Bad Debt."
- Set the Rule
Type to "Negative."
- Enable the
rule.
- Select "Loans have
overdue instalments."
- Select "Write off overdue
loans as bad debt."
- This feature is available
from v13.3.
- Specify the number of
days that the loans must be in arrears (e.g.,
120).
- If you want to email a
notification along with the status change (as required by NCA regulations 20
business days prior to submitting an adverse status to the credit bureau),
select "MAXMAIL notify client of adverse status."
- This feature is available
from v13.4. The MAXMAIL module must be enabled, and you must have sufficient
email credits to use this feature. Contact support for assistance or more
information.
- Note: Loans
typically prescribe after 3 years.
3.5. New Client Rule
This rule applies to clients newly
loaded onto the system who have not yet had a loan.
- Give the rule a
description, for example: "New."
- Set the Rule
Type to "Special."
- Enable the
rule.
- Select "Client is
New."
