This section allows you to configure file layouts
for use with Payout and Payroll processes.
Security: The security option for
these settings is located under the Report Section within
Role Setup > File Layout.
Please note: The availability
of the Payout and Payroll options is dependent on the specific modules
configured for your legal entity's MAXMONEY Product.
Key Considerations for File Layouts
- Input Files (Payroll): For
input files used by the Payroll process, you must select what the detail
entries should be linked to (either Client ID Number or
Bank Account Number).
- Prohibited Field Types on Import
Files: "Imported Value or Replacement Token" and "Replacement Token"
field types are not allowed on import files.
- Mandatory Fields: All
layouts must contain a Record Id field and an
Amount field. This will be validated when the
file is linked to a Bank Account and prior to processing.
- Generic Values: These are primarily used for
input files where a value needs to be read from a Linking Column or a value is
simply to be ignored.
- Fixed Value: These are mostly used on export
layouts.
- "Import Value or Replacement
Token": This is used on output files.
- If the amount on the
input file remains unchanged before export (e.g., in payroll processing),
the value from the same column in the import file will be used.
- If the amount value is changed, then the
replacement token will be used instead.
- Replacement Tokens: A token's
value is replaced by the actual database value, which is then added to the
output file.
- Token Notes:
- Loan tokens are only
available on the Payout export.
- String slicing can be performed on the
Bank Account Number token (e.g.,
{^bank_account_number[1:8]^} will print only
the first 8 characters).
- Bank Account tokens
will contain either the Client's bank details or the Legal Entity's bank
account details, depending on the context.
- The Amount token value
will vary depending on the specific process it's used
in.
File Layout Management Options
You can:
- Add new file layouts for the
payroll and payout processes:
- Add File Layout
Template
- Add File Layout
Manually
- Edit existing file layouts for the payroll and
payout processes.
- Detail: You can add, edit, and print detail
entries for the file layouts.
- Print a list of all File
Layouts: Click the Print button.
- View the file layouts for the
payroll and payout processes. The following columns are available:
- Description: The heading/description of the
column.
- Enable: Indicates whether
the File Layout is enabled (Yes or
No).
- Format: The file format
(CSV or Excel).
Buttons
- Back: Click to return to the
previous screen.
