How to Print or Email a Statement of Account

Overview

After you have set the filters and generated a Statement of Account, the system takes you to a final screen where you can download, print, or email the document. This guide explains the final steps and details the content included in the statement.


1. How to Generate and Print the Statement

  1. Generate the Statement: This screen appears after you have navigated to a client's statement function, set your filters (e.g., date range, file format), and clicked the Finish button.

  2. Download and View: Click on the hyperlink provided. The name will reflect the file format you chose, for example:

    • "HTML: Detailed Client Statement of Account Report" or
    • "PDF: Detailed Client Statement of Account Report"
  3. Print the Document:

    • HTML: The statement will open in a new browser tab. Use your browser's standard print function (Ctrl+P or Cmd+P) to print a copy.
    • PDF: The file will download to your computer. Open it with a PDF reader (like Adobe Acrobat) and use its print function.

2. How to Email the Statement

You can email the generated statement directly from the system.

Prerequisites (Administrator Setup): For this feature to work, your System Administrator must have configured the following:

Steps to Email: On the report generation screen, simply click the Email Report button. The system will send the statement to the pre-configured email address.

The generated statement is a comprehensive document broken down into the following sections:

Header Information

Financial Summary

Transaction History

A detailed list of all transactions for the selected period, with the following columns:

Ageing Analysis

A breakdown of the outstanding balance into different ageing categories:

Your Banking Details

This section displays your company's bank account details for client payment reference.
