Print and Understand the Statement of Settlement

1. Overview

After generating a Statement of Settlement, this screen allows you to output the final document. You can print it, save it as a PDF or HTML file, or email it directly from the system. This guide also provides a detailed breakdown of every section within the statement document itself, explaining what each piece of information means and where it is sourced from in the system.

The statement can be generated in the following formats, which are ideal for printing, emailing, or saving:

Note: When an associated budget is printed in HTML format, the footer will display: "MAXMONEY developed by MYCOMAX MICROFINANCE SOLUTIONS - www.mycomax.com - Created on (date and time)"

Back to Filter Option Click this tab to return to the previous screen where you set the settlement date.
Email Report Click this tab to email the report. Note: This requires prior setup of user email addresses (Setup > Security > Users) and Cash Box email configurations.

3. Understanding the Statement of Settlement Document

The statement is a detailed document composed of several sections. Below is a breakdown of its contents.

A. Header and Party Details

This section identifies the client, the credit provider, and the effective date of the statement.

Field Description
Client Name & Number The client's title, initials, surname, and unique client number.
ID Number of Client The client's national identification number.
Bank Account of Client The client's primary bank account number on file.
Postal Address of Client The client's physical or postal address.
Credit Provider Details The credit provider's legal name, trading name, physical and postal addresses, telephone number, and NCR Registration number.

B. Outstanding Loan Agreement Details

This section summarises the original terms of the credit agreement.

Field Description
Principal Debt The original loan amount granted.
Loan Number The unique account number for this loan agreement.
Annual Rate of Interest The annual interest rate applied to the loan.
Start Date / End Date The agreement's start date and the scheduled final instalment date.
Frequency The client's payment schedule (e.g., Monthly, Weekly).
Number of Instalments The total number of instalments in the original agreement and the number remaining.

C. Financial Transaction Summary

This section provides a summary of all financial transactions that contribute to the settlement amount.

Field Description
Opening Balance The balance at the start of the loan or from a previous period, if applicable.
Payments Received The total sum of all payments made by the client against this loan.
Fees Levied The total of all initiation and service fees charged.
Interest Accrued The total amount of interest charged to date.
Insurance Costs Levied The total of all insurance premiums charged.
Collections Costs Levied The total of all permissible collection costs charged.
Default Admin Costs The total of all permissible default administration costs charged.
Legal Fees Levied The total of all permissible legal fees charged.
Chargeable Interest & Fees The total of any interest and fees that are chargeable but not yet levied.

D. Outstanding Balance (Aged Analysis)

This section provides an age analysis of the total outstanding balance.

Field Description
Current / 30 / 60 / 90+ days A breakdown of the outstanding balance by the number of days it is overdue.
Arrears The total amount that is currently in arrears.
Outstanding Balance The total outstanding balance on the account.

E. Credit Provider Bank Details & Final Instructions

This final section provides the necessary details for the client to make the settlement payment.

Field Description
Bank / Branch / Acc No. The credit provider's bank name, branch, account number, and account type.
Payment Deadline States the date by which the settlement payment must be made (as per the 5-day binding period).
Signature Blocks Spaces for the credit provider and client to sign, if required.
