Viewing Client Transactions

Navigation: Client Administration > Search for Existing Client > Highlight the Client > Transactions button

Overview

The "Transactions" screen provides a detailed, chronological history of all financial transactions recorded against a client's account. This includes loan disbursements, payments, fees, interest, and any other debits or credits.

How to View Transactions

  1. Find and Select the Client: Navigate to Client Administration > Search for Existing Client. Find the correct client and click on their name to highlight them.
  2. Open the Transactions Screen: Click the Transactions button at the bottom of the screen.
  3. Set the Date Range: Use the "Date Range From" and "To" fields to specify the period you wish to view.
  4. Submit: Click the Submit button to display all transactions within that date range.

Understanding the Transaction List

The list of transactions will be displayed with the following columns:

Column Name Description
Transaction date The date the transaction was recorded on the General Ledger.
Description A description of the transaction (e.g., "Loan Instalment Receipt," "Loan Disbursement").
Amount The value of the transaction.
Batch Code A unique code that groups the debit and credit legs of a transaction together, ensuring each group adds up to zero.
Event Number The ID number of the financial event used to process the transaction.
Home Branch The branch that created the transaction.
Creation Date The date the transaction was first entered into the system.
Creation Time The local time the transaction was entered into the system.
Creation User The username of the person who created the transaction.

Available Actions

After filtering for transactions, you can perform several actions by first highlighting a specific transaction and then clicking one of the following buttons:

 Print Receipt  Generates a printable copy of a specific receipt  Print Receipt
 Print Change  Generates a printable slip for a "Change to Client" transaction  Print Change
 Print Transaction  Prints a record of the highlighted transaction  Print Transaction
 View Transactions Details  Opens a more detailed view of the selected transaction  View Transaction Detail
 Print Transaction List  Generates a printable report of the entire list of transactions currently displayed on the screen  Print Transaction List
 Back  Returns you to the previous screen (the client search results)
