Finding and Managing Existing Clients

Navigation: Client Administration > Search for Existing Client

This screen is the central starting point for viewing, editing, or performing any action on an existing client's profile. This guide covers how to find a client and an overview of all the functions available once you have selected them.

Note for Collection Service Providers (CSPs): If you use integrated CSPs such as Allps, RealPay, SureSystem, NuPay, Paym8, Collexia, or Amber, please ensure you follow the specific procedures required for those integration partners.


1. How to Find an Existing Client

To begin, you must find and select a client from the database using one of the available search methods.

Search By Description & Instructions
Client Number A powerful numeric search. You can specify ranges:  • 1 - Finds only client number 1.  • 3.. - Finds client 3 and all clients after it.  • ..10 - Finds all clients up to and including number 10.  • 4..8 - Finds all clients from 4 through 8.
ID Number Enter the client's complete ID number.
Surname Enter the client's surname.
Bank Account Number Enter the client's bank account number.
Bank Card Number Enter the number from the front of the client's bank card.
Cellphone Number Enter the client's cellphone number.
Employer Enter the name of the client's employer.
Tax Number Enter the client's complete tax number.
Loan Number Enter a specific loan number to find the associated client.
Loan Reference Enter a specific loan reference number.
MaxCollect Reference Enter the reference number generated by a MaxCollect payment instruction.
Original Client Number Use this if data was imported from another system to search by the client's old number.

Important: If you assign your own client numbers, they must contain only letters and numbers. Using special characters (e.g., /, -, *) will cause errors when generating Loan Agreements or Quotations.


2. Understanding the Search Results

After searching, a list of clients will be displayed.

The search results list contains the following columns:

Column Name Description
Client No. The client's unique number in MAXMONEY.
First Name The client's first name.
Surname The client's surname.
ID Number The client's ID number.
Status

The client's current status (e.g., Good, Overdue, Tracing).

Outstanding Loans The number of currently active loans. To see the value, use the Summary or Loans buttons.
Employer The name of the client's current employer.
Home Branch The branch to which the client is assigned.

3. Available Actions and History Views

Once a client is highlighted, you can use the buttons at the bottom of the screen to perform various actions.

Primary Actions

These buttons initiate a process or open an editing screen.

 Edit Client  Opens the client's full profile, allowing you to edit their details across all tabs  Edit Client

 Post Client Change  Used to distribute a specific change made to the client's profile  Post Client Change
 FIC Enquiry  For FIC/AML compliance perform the checks on the specific client  FIC/AML
 Experian/ VeriCred/ XDS Enquiry/CreditInfo  Initiates a new credit bureau enquiry with the respective service provider  Credit Check
 Update XDS Score  Get the latest 30-day MicroFinance Industry score from XDS (RSA only)  XDS MFI Score
 SMS Client  Opens the interface to send a new SMS to the client  SMS Client
 Letters  Accesses the module for generating correspondence to the client  Letters
 Statement  Generate a statement of account for the client  Statement
 Attached Documentation  Upload a document to the specific client's profile  Upload Document

Client History and Information Views

These buttons open screens that display historical information about the client. Summary, Loan History, Transaction History, Client Log, SMS History, Payback Instructions, Payback Instruction History, Payout Instructions, All Loan Instalments, Client Attached Documents, Loan Transactions

 Summary  Shows a high-level summary of the client's loan and payment history  Client Summary
 Loans  Displays a detailed history of all past and present loans for the client  Loan History
 Transactions  Shows a complete list of all financial transactions on the client's account. From this screen, you can also: • Reverse a Receipt  • Print a Receipt  • Print a Change  • Print a Transaction list  • View Transaction Details  Transaction History
 Client Log  Displays a detailed audit trail of all changes made to the client's profile  Client Log
 SMS History  Shows a log of all SMS messages previously sent to the client  SMS History
 Payback Instructions  View and manage all payback instructions linked to the client's loans  Payback Instruction History
 Payback Instruction Histories  View a complete history of all payback instruction activities and changes  Collection History of Payments
 Payout Instructions  View a complete history of all the payout instruction activities  Payout History
 All Loan Instalments  Displays a detailed breakdown of all individual loan instalments for the client  All Loan Instalments
 Loan Transaction Detail  Provides a more granular view of loan-specific transactions  Loan Transaction Report
